- This staff person serves under the supervision of the Finance Director.
Summary of Position
- The primary duty of the Accounts Payable Coordinator is to ensure that all monies expended by the Church are disbursed and accounted for properly, to carry out the mission and vision of First Baptist Church of Sevierville.
Duties and Responsibilities
- Oversee the proper recording of all expenditures of the church under the fund accounting system, using the Sage Intacct accounting software.
- Reconcile Accounts Payable subledger with the General Ledger on a monthly basis.
- Ensure that all bills of the church are paid on time and that proper supporting documentation is obtained prior to disbursements being made.
- Communicate with vendors, church staff, and laypeople of the church regarding church expenditures.
- Maintain files of paid and unpaid invoices, as well as monitor vendor credits, if any.
- Maintain all church credit cards and reconcile all credit card expenditures.
- Maintain W-9 files for all vendors and collect Independent Contractor agreements when necessary.
- Update and maintain vendor records in Sage software, ensuring accurate remittance addresses.
- Organize and maintain vendor contract files.
- Maintain up-to-date Certificate of Insurance (COI) files for all active on-site vendors, ensuring compliance during their service period on FBC property.
- Maintain a monthly updated log of church gas, electric, and water bills, and benevolence assistance.
- Maintain all church assets using Asset Management Software, tagging incoming assets, keeping detailed asset information, and properly disposing of damaged assets.
- Cross train in the Accounts Receivable function of the Church.
- Generate and mail monthly invoices to lessees of church property through the Sage Intacct software.
- Maintain Mother’s Day Out student database and generate monthly invoices through the Sage Intacct accounting software.
- Assist in the Monday morning deposit process of the weekly offerings.
- Accurately record all memorial donations and ensure weekly notification cards are sent to the families of those who have passed away.
- Ensure timely collection and distribution of all incoming mail and packages to relevant departments.
Skill and Educational Requirements
- Bachelor’s degree with a major in accounting is preferred. The position requires an understanding of accounting principles and fund accounting.
- Experience working with accounting software and a high level of understanding of accounting systems and processes is required.
- Proficiency with office applications such as Word, Excel, Outlook, and Teams is required.
- Excellent communication skills are required.

This employee is entrusted with all monetary assets of the Church and requires an applicant of the utmost in integrity and trust.
